Check guests in on the night

Your volunteers scan each QR ticket at the door on a phone or laptop, or find a guest by name. A ticket used twice shows in red, and the count of guests in updates as they arrive. No paper lists to tick off.

Ticket types your way

Early bird, standard, a table of ten or a family ticket. Each type has its own price, limit and on-sale dates. Hidden types can only be booked from their direct link.

Timed entry

For light trails, grottos and open days, sell places at set times, such as 20 places every half hour. Buyers pick a day and a time, and can move their booking later.

Know who is coming

Ask each guest for their name and anything you need to know. Mark an answer to show at the door, and download the guest list as a CSV.

Donations at checkout

Let buyers add an optional donation to one of your campaigns. It can carry Gift Aid and is kept apart from ticket sales. Or run free entry with donations welcome.

QR tickets by email

Tickets arrive by email straight away, with a reminder 48 hours before. Buyers can put a ticket in a guest's name and have lost tickets sent again.

Check in at the door

Scan QR codes or find guests by name. Use the Door tab in your portal on any phone or laptop with a camera, or DONATE Admissions on volunteers' own phones. A ticket used twice shows in red.

How it works

  1. Create your event. Choose a one-off event with one date, or timed entry. Add your ticket types, questions and options.
  2. Try it in Preview. Every event starts in Preview. Book test tickets and scan them at your door. No payment is taken and no email is sent.
  3. Go live and share. Switch Live on and share your ticket page link, short link or QR code on posters and flyers. The QR code is safe to print while you are still in Preview.
  4. Check guests in. Scan tickets at the door. The Door tab keeps working if the signal drops, and sends check-ins when it is back.
  5. After the event. The event report shows attendance, ticket sales and donations. DONATE emails a thank-you to buyers whose tickets were checked in, and removes guest details after the number of days you choose.

Good to know

  • Ticket money is ticket sales. A ticket buys entry, so it is never counted as a donation and is kept apart from your fundraising totals.
  • Gift Aid is only on donations. Tickets never carry Gift Aid. Donations added at checkout can, if your organisation is a charity.
  • Refunds are handled by DONATE. We refund whole bookings for you, including any donation made in the same payment.
  • Cash at the door counts too. Record cash, cheque or in-person card sales against the event. That money is already with you, so there is no fee on it.
  • Tickets is switched on by DONATE. It appears as Tickets in your portal menu. If you cannot see it, email hello@nationalfundingscheme.org and we will set you up.

Tickets FAQs

What does it cost? +

Online ticket sales cost 4.5% plus 22p for charities, or 5% plus 22p for other organisations, and no booking fee is added for buyers. Donations at checkout carry your usual donation fees. Sales you take in cash, by cheque or by card in person carry no fee. Payouts carry the usual charges on our pricing page.

Is ticket money a donation? +

No. A ticket buys entry, so it is a ticket sale. It never carries Gift Aid and is kept apart from your fundraising totals. Donations people add at checkout are real donations to your campaign, and can carry Gift Aid.

Can I try it before going live? +

Yes. A new event starts in Preview. Book test tickets and scan them at your door, then switch Live on. No payment is taken and no email is sent in Preview, and test tickets are deleted when you go live.

How do I sell a table of ten or a family ticket? +

Add a ticket type and set how many people it admits, such as 10 for a table or 4 for a family. Each person gets their own QR code.

How do volunteers check guests in? +

Two ways. The Door tab in your portal works in a browser on any phone or laptop with a camera, and keeps working if the signal drops. DONATE Admissions is a web app volunteers use on their own phones, at app.easydonate.org. Both scan the QR code and find guests by name, and you can use both at the same event.

How do refunds work? +

DONATE refunds whole bookings for you. Email hello@nationalfundingscheme.org with the event name and the ticket reference. A full refund also refunds any donation made at checkout in the same payment.

Can I run a free event and still take donations? +

Yes. Add a free entry ticket and choose a donation campaign. Entry stays free, and a gift from a UK taxpayer can carry Gift Aid if your organisation is a charity.
